Protocol For Corporate Solicitation

In order to more efficiently solicit funds from industry, the following set of criteria for solicitation is proposed:
  • A central list of major funding priorities (over $10,000) will be developed by the Corporate Development Division and approved by the Vice Presidents, the Deputy Executive Vice President and the Executive Vice President;
  • No Grant over $10,000 (new, renewal or ongoing) will be initiated without reporting to the AAFP Corporate Development Director (AAFP Foundation Executive Vice President)
  • Grants that have been received for projects, whether new, renewal or ongoing and regardless of size, will be reported to the Foundation Executive Vice President so that they may be recorded;
  • Special projects, continuation of projects or one-time projects of a small size (under $10,000) may be approved and recorded by the Corporate Development Division without consultation of the AAFP Executive Vice President but with appropriate Vice President approval. New grants over $10,000 will require Executive Vice President, Deputy Executive Vice President and appropriate Vice President approval prior to initiation of contact;
  • When the timing is appropriate, a computerized corporate funding database will be developed and networked to record contacts and solicitations. In the interim information will be gathered via paper form;
  • The Academy or Foundation staff who initiate grant proposals will be responsible for developing a written agreement with the granting company, which specifies the obligation of each party regarding the project. Specific deadlines for the production or receipt of reports should be clearly documented. Proposals over $10,000 must have AAFP Executive Vice President signature; under $10,000 AAFP Foundation Executive Vice President signature. General Counsel of the American Academy of Family Physicians must approve all written agreements. The same individual will be responsible for providing appropriate feedback and/or reports to the granting company and acknowledging the receipt of the funds (with a cc: to the EVP).
  • Types of Corporate Grants/Contracts (which will be indicated by the requestor) Note: All proposed projects are subject to review and approval of appropriate member entity to ensure congruence with AAFP goals and objectives, unless previously delegated to staff within broad guidelines.
  1. AAFP would do project anyway. Any funding amount is negotiable. Foundation amount is negotiable.
  2. AAFP has a strong interest in doing the project, but pending funding. Funding will include Direct Costs, Salaries and Fringes
  3. AAFP has an interest in the project, but pending funding. Funding will include Direct Costs, Salaries, Fringes and Indirect Costs
  4. Outside Company initiative - AAFP has strong interest in proposed project. Funding will include Direct Costs, Salaries, Fringes and Indirect Costs
  5. Outside Company initiative - AAFP has moderate interest in proposed project. Funding will include Direct Costs, Salaries, Fringes, Indirect Costs and Surplus
