Each 10' x 10' booth at National Conference includes:

  • Pipe and drape
  • 1 draped table (8’ x 30”)
  • Booth carpet
  • 2 side chairs
  • 1 waste basket
  • Booth ID sign
  • 1 lead retrieval
  • Pre- and post-show registration mailing lists
  • Up to 6 exhibitor badges and NEW! for 2024 - National Conference T-shirts
  • Listing in the conference marketing collateral, mobile app, and website

ON Services is the official audio-visual provider—log in to ON Services.

Fern Exposition Services, LLC is the official contractor to order additional booth furnishings such as pedestal tables, stools, porter/cleaning services, signage, or to view shipping instructions, and more. Log in to OneView.

If you would like to distribute food and/or non-alcoholic beverages from your assigned booth space, you must receive approval from the AAFP and Aramark, the Kansas City Convention Center's exclusive caterer. Contact Traci Law or call 816-541-2813.

All Electrical, Internet, and Utilities needed at your booth must be ordered through Smart Cities—log in to Smart City Networks.

Exhibitors are allowed six badges per 10' x 10' exhibit space. Additional badges over your allotment are $255 per badge and will be invoiced after the conference to the exhibiting organization.

Exhibit badges are for "staff only" of the exhibiting organization and may not be distributed, awarded, or shared with others that do not work for the exhibiting organization. If badges are misused per these terms, the exhibitor will be in violation, which could forfeit their eligibility to exhibit in the future and immediate removal of their booth from the exposition. AAFP may at any time relinquish a mis-used badge.

Exhibitors using an exhibit service firm for setup/dismantling other than the official contractor (Fern Exposition Services, LLC), must abide by the Kansas City Convention Center building operating guidelines and the AAFP 2024 National Conference Exhibitor Agreement Terms Conditions. All exhibitor-appointed contractors must submit a valid certificate of insurance to Aaron Verhei, AAFP Exhibit Manager by June 30.

Important Note: For safety reasons, children under 18 are not allowed in the Exposition Hall during installation and/or dismantling. No exceptions due to heavy equipment in the hall.

Installation

Wednesday, July 31:  3–7 p.m. 

Thursday, August 1: 8 a.m.–3:30 p.m.

The AAFP reserves the right to assign labor to set up any display that is not in the process of being erected by 2 p.m. The charge for this labor will be paid by the exhibitor.

Dismantling

Saturday, August 3: 12–3 p.m.

Although tear down extends for three hours, exhibitors are instructed to take all items of value with them as they exit the hall.

To maintain show integrity, dismantling or packing of materials/supplies is prohibited prior to close of show - 12:00 p.m. on Saturday, August 3. Dismantling will result in non-eligibility for National Conference 2025.

Scan attendee's badge bar codes to capture leads for post-show follow-up. AAFP will provide at no cost to you one complimentary lead management mobile SWAP activation per the Exhibitor Agreement, but you must request it per the order form below. Additional activations are available for a discounted price to NC exhibitors. Log in to Maritz.


Maritz is the official lead management provider.

Food/beverages will be available for purchase in the Expo Hall and outside in the food truck concession area.

While your booth price does include a wastebasket, it does not include porter service. If you would like your wastebasket emptied each day, you must order porter service from the AAFP's official contractor, Fern Exposition Services, LLC. If you have giveaways that generate trash, you need to order porter service to remove your empty cartons and/or containers. Log in to OneView.

The pre-show registration mailing list is complimentary to NC exhibitors. This file will include residents and medical students registered as an attendee who haven't "opted out" of receiving advance mailings. The file includes the name and mailing address. It will be sent to all 2024 exhibitors by email in early July.

The AAFP provides general security on a 24-hour basis from Wednesday, July 31 through Saturday, August 3. However, the AAFP cannot guarantee or be held responsible against loss or damage. For this reason, we recommend you do not place products or other items of value on display in your booth(s) until your organization representatives are in attendance.

The exhibit service desk will be in the SW corner of the Exposition Hall and open Wednesday, July 31 through Saturday, August 3. Exhibitors may verify, check, and adjust their requirements for installation, furniture, electrical, internet, lead retrieval, shipping, and other auxiliary services.
