Virtual Booth Package

Your virtual booth investment will include:

  • Six exhibit virtual badges with full meeting access within the virtual platform
  • Access to engage and connect with medical students and residents in the virtual platform
  • Pre-registrant attendee mailing file
  • Booth promotion including logo, video, handouts, description, URL, program/product category listings, new to show listing, and residency program by state listing
  • Virtual Official Program & Exhibit Guide listing
  • Exhibit list and live floorplan promoted to attendees in email blasts and on the attendee expo hall web page
  • Lead capturing for post-show follow-up
  • Opportunity to pre-schedule one-on-one virtual meet-ups

2021 Virtual Booth Assignment Details

Virtual Booth Price: $1,175

Payments and Deposits

  • Your 50% deposit is required within 30 days of receipt of booth confirmation.
  • Full payment is due by May 31, 2021. All Exhibitor Agreements received after this date require full payment.

Method of Payment

Pay your balance through the Exhibitor Login (available in late March)
Pay by check (make payable to AAFP) and send to:

  • AAFP Accounting Division
  • 11400 Tomahawk Creek Pkwy.
  • Leawood, KS 66211-2672

The AAFP accepts MasterCard, Visa, American Express, and Discover.

Outstanding invoices due to the AAFP, as a result of previous transactions, must be paid in full before virtual space will be assigned.

Cancellation Policy

Virtual Exhibit space that has been assigned and confirmed may be canceled by written notice to Kristy Sloan ksloan@aafp.org , AAFP Exhibit Manager. If notice of cancellation is received:

  • Before May 31, 2021 -- Exhibitor forfeits 50% of total cost for exhibit space assigned.
  • On or after May 31, 2021 -- Exhibitor forfeits 100% of total cost for virtual exhibit space.

NOTE: It is the exhibitor's responsibility to cancel all other arrangements made in connection with the exhibiting, requests for the services of official vendors, or any other contracted services associated with the National Conference. Exhibitor is liable for any and all fees or penalties associated with the cancellation of said services.

Cancellation of Exposition

In the unlikely event of cancellation of the National Conference exposition due to any force majeure event (e.g., fire, strikes, governmental regulation or order, transportation interruption, terrorism, national emergency, natural disaster, outbreak or continuance of an epidemic or contagion or declaration of pandemic by the U.S. government or the World Health Organization, or other cause beyond the reasonable control of AAFP that prevents or makes National Conference commercially unreasonable or inadvisable for its scheduled commencement or continuance),  then and thereupon Exhibitors and the AAFP have no further obligation to one another, and payment for current assigned Exhibitor’s booth fee will be fully refunded.
