Exhibit Checklist

Step 1: Exhibitor Login/Booth Promotion

*First time exhibitors: please complete the new to show eligibility form

View the Exhibitor Login where your program/company can:

  • Pay your booth fees, view invoice, print payment receipts
  • Add/edit promotion content -- online booth description, program/product category listings, residency program by state, and new to show (if applicable).

Step 2: Exhibitor Badge Registration

Enter your exhibit personnel names in the Exhibitor Badge Registration system. Exhibitors receive six exhibit badges per 10' x 10' booth space.

Step 3: Exhibitor Housing

Visit KC Passkey is the official AAFP Housing Bureau.

As the 2022 AAFP National Conference approaches, you may be the target of unauthorized hotel/housing poachers who claim to be "partners" or providing services on behalf of AAFP. Please be aware that these companies are not authorized to provide services on AAFP's behalf. AAFP works to prevent the unauthorized contact of the AAFP community as well as the inappropriate use of both AAFP attendees' and exhibitors' names. Please be assured that  AAFP is firmly committed to providing quality services to make your exhibiting experience a positive one, and we will vigorously pursue these housing pirates to prevent unauthorized contact.

Step 4: Online Exhibit Service Manual

Each 10' x 10' booth includes the following:

  • pipe and drape
  • booth ID sign
  • booth carpet
  • 1 - draped table (8' x 30")
  • 2 - side chairs
  • 1 - wastebasket
  • 6 - exhibit badges
  • 1 - lead management swap activation
  • pre-show mailing file
  • post-show mailing file

The online exhibit service manual is where you order electrical, internet, lead management, or additional furnishings for your booth.

Important 2022 Exhibit Deadlines

March 1 – Large Block Assignments Open at 12:00 p.m. (CT) – those requesting a block of five or more booths first-come, first-served.
March 1 – Exhibit Housing Opens
March 30 – Exhibitor Badge Registration Opens
March 30 – Open Booth Assignments Begin at 12:00 p.m. (CT) – first-come, first-served
April 1 – Online Exhibit Service Manual ordering is available
June 1 – 50% Cancel Penalty
June 1 – Full Payment Due
June 1 – Exhibit Promo Content Due for Official Program & Exhibit Guide
July 1 – All special requests in the bulleted list below must be submitted in writing to Gina Page, Exhibit Manager at

  • Booth activities/celebrity promotions
  • Surveys/market research requests
  • Exhibitor-Appointed Contractor (EAC) notifications due
  • EAC Certificate of Insurance due
