Large Block Assignments Open | March 8–March 26, 2021

Definition: A large block is five or more residency programs or companies wanting to be assigned and located together. Completed Exhibitor Agreements for your large block must be submitted together in the same email or fax before 5:00 p.m. (CT) March 26. Contact Kristy Sloan ksloan@aafp.org with questions.

Open Booth Assignments will Begin on March 29, 2021 for those requesting 4 or less virtual booths. The online Exhibitor Agreement will be available to submit your booth request on March 29.

Virtual Booth Price: $1,175

Once your virtual space has been assigned, you will receive the exhibit confirmation and invoice by the end of April.

How much does a virtual booth cost?

A virtual booth is $1,175.

Can I share a booth with another company/program?

The virtual event platform does not allow exhibitors to co-exhibit in a single virtual booth.

What if I have to cancel?

Send booth cancellations in writing to Kristy Sloan ksloan@aafp.org, AAFP Exhibit Manager.

Before May 31, 2021 - exhibitor forfeits 50% of total cost for exhibit space assigned.
On or after May 31, 2021 - exhibitor forfeits 100% of total cost for exhibit space assigned.

How do I get my organization information in AAFP Promotions?

Once your virtual booth space has been assigned, you will receive an email with the Exhibitor Login details, password, and instructions for submitting your booth information to be included online in the exhibit list, live floor plan, and in the Virtual Official Program & Exhibit Guide. To be included in the Virtual Official Program & Exhibit Guide your product/program categories, Residency by State, and New-to-show information must be entered by June 30. Booth descriptions should be factual for promotion purposes. Copy will be reviewed and edited at the discretion of the AAFP for all promotion.

What sponsorship and advertising opportunities are available?

National Conference offers many sponsorship and advertising opportunities now in a virtual platform. For more information, contact Gina Page gpage@aafp.org (913) 906-6066.

How do I collect sales leads?

Lead management details in the virtual platform will be available May. Another great benefit and complimentary to exhibitors of the 2021 National Conference is the pre-show attendee mailing file. Do a pre-show mailing and let the residents and students know you are a virtual exhibitor. This is an excellent way to help generate virtual traffic to your booth. The pre-show excel file will include name, and mailing address of those registered as an attendee who haven't opted out of releasing their information. It will be emailed to the Exhibitor Agreement contact in around July 1 and then again around July 22.

How do I set up my virtual booth?

Virtual booth setup instructions and training on how to upload a promo video, upload logos, etc. will be available in June.

How do I request virtual exhibit badges?

Virtual Exhibitor Badge Registration is open. Exhibitors are allowed six complimentary badges per virtual booth. Programs/Companies that exceed their complimentary badge allotment will be invoiced the additional badge fee of $160 following the conference.
